Introducing… drumroll… The “I Do” Series! I’ve been itching to kickstart this awesome wedding planning series for my couples for what feels like forever. Between a couple of adorable babies and some well-deserved recovery time, I’m finally getting the chance to whip up this collection of must-know tips and tricks for the upcoming wedding seasons. Even though I’m not officially a wedding planner, I’m all in when it comes to helping you navigate the planning process. With loads of experience from my journey in luxury and intimate wedding photography, I’m here to make your planning journey as smooth as possible. And what better place to start than diving into the oh-so-important topic of choosing your dream wedding venue? Let’s dive in, shall we?
First things first, a massive congratulations on your engagement! If you’re here, it means you’re diving headfirst into the exciting world of wedding planning and could use a hand – and hey, that’s what I’m here for! As a wedding photographer who’s been lucky enough to witness countless love stories unfold, I get just how crucial every decision is for your big day. And let me tell you, picking the perfect venue is a game-changer. It’s not just about finding a spot to say “I do” – it sets the whole scene for your celebration and has a huge impact (seriously, it’s a biggie!) on the look and feel of your wedding photos. But beyond aesthetics, your venue shapes the vibe of your entire day, making it an experience to remember. So, let’s dive into why finding a venue you adore is such a major deal!

Being in a space that feels like “you” adds an extra layer of magic to your pictures. Just a heads up: if your venue is dark or has lots of warm tones like red wood, it could affect how your photos turn out. If you’re into those high-end, magazine-worthy wedding shots, consider a spot with a sleek, clean look and fewer warm tones. These places usually have cool shades like black and white, and they’re often neat and tidy without a lot of rustic touches. It’s all about finding the perfect backdrop to make your big day absolutely stunning!
The colors at your wedding and in your venue can totally change the vibe of your photos! Some photographers lean towards warm edits, others go for moody and dark, while some prefer light, bright, and airy shots. Then there are those who keep things true-to-tone or give them a chic, editorial feel. If you’re wondering how your photos will turn out and if they’ll match your wedding vision, don’t hesitate to chat with your wedding planner and photographer. They’re great people to bounce ideas off of! Most importantly, pick a venue that feels just right for you and that you’ll be thrilled with. After all, it’s your big day!
The layout and flow of your venue can impact the smoothness of your wedding day timeline. Consider things like the proximity of the ceremony site to the reception area, enough space for guests to mingle comfortably. Are there convenient amenities like dressing rooms for the bridal party and yourselves ro get ready for the day, or will you need to book additional time at a hotel or airbnb close, if they are close by. Will there be drive time between multiple locations, or will any kind of transportation be needed for guests from one part of the venue to another? A well-planned venue ensures that transitions between key moments are seamless, allowing your photographer to capture candid moments and genuine emotions without disruptions.
So here’s thing thing, lighting is a big deal in photography! Different venues bring different vibes with the natural light and atmosphere you offer. If you have the chance, aim for places with plenty of windows, outdoor areas, or lighting setups that give your photographer lots of options. Mixing natural and artificial light can work wonders, creating those jaw-dropping photos you’ll be posting on instagram forever. Good lighting sets the stage for romantic shots, heartfelt moments, and those epic dance floor moves, making sure each photo captures the love and energy of your big day!
Consider what amenities and services are essential for your wedding day experience. Be thinking of things such as on-site catering and event coordination*, to audiovisual equipment, available bathrooms (some may require that you book luxury traveling bathrooms), parking facilities and handicap accessibility. You should choose a venue that offers the amenities you need to not only bring your vision to life, but also the amenities you need to make your day run smoothly and accommodate your family and friends. Additionally, be sure to inquire about any restrictions that may impact your photography plans, such as drone usage, access to certain areas, or time constraints. Time constraints can include things like when you can enter the venue including any bridal suites, or when you need to have the venue completely vacated and/or cleaned.
*Just a note, and coming in another blog post soon, Event Coordinators through the venue are usually NOT wedding planners or actual day-of-coordinators, they just make sure the venue is open and running correctly and things are accessible when needed and locked back up at the end of the day. They often are just present in the background to be sure that the Venue
Keep in mind that while investing in a beautiful venue is important, it’s equally important to set aside funds for other aspects of your wedding, including photography, attire, and entertainment. Wedding venue costs vary depending on location, season, amenities, and package inclusions. There are many affordable wedding venues in your area, just take the time to research average venue prices in your area and allocate a realistic budget that aligns with your priorities. I know that we see so many beautiful venues all over instagram all the time like in Lake Como, Italy or some other amazing spot as seen in Vogue. Luxury weddings in elaborate venue locations are spammed all over the place on social media outlets right now and sometimes it feels like it’s not an attainable option because of our wedding budget, but I promise there are still so many gorgeous locations out there. You can still be married somewhere beautiful while sticking to your budget, whatever that number is for you.
When exploring different types of wedding venues, you should look into the following options:
Outdoor Venues: Imagine saying “I do” surrounded by the beauty of nature – gardens, vineyards, beaches, and parks make for dreamy settings! Remember that booking outdoor wedding venues means rolling with the weather. Think about backup plans and any permits you might need. In spots like the Pacific Northwest, where Mother Nature can be a bit unpredictable, it’s smart to have clear umbrellas or covered areas ready to go. And if you’re tying the knot somewhere warmer, shade and ways to stay cool are key for everyone to enjoy the day to the fullest!
Historic Sites and Mansions: If you’re all about that classic charm and timeless look, historic estates, manors, and museums are your go-to! These places ooze tradition and sophistication, making them perfect for your special day. Check out different historic spots in your area that host weddings and events. When you reach out to them, don’t forget to ask about things like guest limits and what you can do with decorations to make your day as perfect as can be!
Urban Spaces and Lofts: If you like a contemporary and modern flair, urban venues are where it’s at! Think industrial lofts, art galleries, or rooftop terraces – they scream chic and cosmopolitan. These spots are hot picks for weddings, especially in cities like Portland, Oregon, and Seattle, Washington (which just so happens to be my neck of the woods!). But hey, they’re popping up all over the place because who doesn’t love that trendy city vibe?
Resorts and Destination Wedding Venues: Dreaming of a destination wedding? Resorts, hotels, and exotic locales have got you covered with all-inclusive packages and jaw-dropping views, making your big day an unforgettable getaway for you and your crew. Some top picks for destination weddings and elopements in 2024 and 2025 include breathtaking spots like Tulum or Cancún in Mexico, the stunning landscapes of Iceland, the charm of Spain, Greece, and Italy, the rugged beauty of the Oregon Coast, the romantic Notebook vibes of the Carolinas, or the majestic scenery of Yosemite National Park in California and Banff National Park in Canada. And that’s just the beginning! Remember to check if you need any permits, especially in places like national parks. Also, keep in mind that some resorts abroad might charge a fee if you bring in your own photographer. So, do your homework beforehand to avoid any surprises and make sure your big day goes off without a hitch!
Before finalizing your venue choice, don’t forget to inquire about venue insurance and liability coverage. Ensure that your venue has adequate insurance to protect against unforeseen circumstances such as property damage, accidents, or vendor mishaps. Understanding the venue’s insurance policies can give you peace of mind and safeguard your investment in case of any eventualities. In addition to this, having a clear understanding of the rules regarding deposits and what they do and do not cover is so important. Always make sure you fully understand your contract with your venue and what everything means, including whether or not if their “deposit” is truly a deposit or if it is a retainer. Be sure to have a printed copy in a wedding folder or in a safe place, and also keep a copy on hand for your wedding planner just in case.
